REQUIREMENTS:

a relevant 3-year tertiary degree (NQF level 6) in public administration, secretarial work, or a similar field, together with at least 5 years of relevant experience providing senior/executive management with high-level administrative support. Experience providing personal assistance and secretarial support in a busy executive office will be advantageous. The key skills and qualities listed below are crucial; Putting the needs of the customer first (Batho Pele); adhering to MISS criteria; Excellent writing and verbal communication, interpersonal abilities, organization, analytical thinking, problem solving, and computer skills. possess the capacity to cooperate with others. Having a current driver’s license Code B or B1. Possess the capacity to work under pressure and the flexibility to put in extra time. Be extremely organised. Assertiveness and a sense of urgency. Must be a team player, flexible and reliable. Must have a broad understanding of work executed in a Senior or Executive Management office environment. Must have good Interpersonal relations. Must be willing to travel. Ability to Manage/Control financial resources. Must have knowledge of the PFMA, Treasury Regulations, Public Service Act and Public Service Regulations.

DUTIES:

The chosen candidate will be in charge of providing the Director General with administrative support services and making sure the DG’s Office runs smoothly. Organize the Director General’s schedule. The Director General’s general administrative support services. Offer efficient handling of messages with a high priority. Organize your email inbox and type documents as needed. Control the driver to the DG’s and the food service assistant’s timetables. managing all of the DG’s travel and subsistence arrangements, as well as procurement, in accordance with the relevant policies. Prepare the meeting’s agenda and supporting materials in advance, as well as the meeting space and secretarial support. When handling documents pertaining to staff members and other matters, exercise strict discretion. As needed, give general administrative support to the Director General’s Branch. Keep record of Director General’s documents into computer system and file documents in compliance with the MISS Document. Maintain the prescribed file registers for opening of files, archiving of documents as well as dispatch registers.

Recommended candidates will also be required to attend a generic managerial competency assessment after the interviews also take a note that National School of Governance (NGS) has introduced a compulsory SMS pre-entry certificate with effect from 01 April 2020 as Minimum Entry Requirements for Senior Management Services and can be accessed through the following link: http://www.thensg.gov.za/trainingcourse/sms-pre-entry-programme/. The competency assessment will be testing generic managerial competencies using the mandated DPSA SMS competency assessment tools. The successful candidate must disclose to the Director-General particulars of all registrable financial interests, and sign a performance agreement and employment contract with the Director-General within three months from the date of assumption of duty. The successful candidate must be willing to sign an oath of secrecy with the Department.
